E-mail Notifications


Optional System E-mail Notifications
(You can choose to receive these, or choose not to)

1. E-mail's sent when a member makes a reservation.
2. E-mail's sent when a member cancels a reservation.
3 . E-mail's sent to admin's when member medical certificate's, BFR's, or 90 Day Student Signoff's are about to expire.
4 . E-mail's sent to members when their medical certificate, BFR, or 90 Day Student Signoff is about to expire.

Mandatory E-mail Notifications Built into the System
(These e-mail's are always sent)

1. E-mail's sent to instructors when someone schedules their instruction time.
2. E-mail's sent to members when an instructor cancels or edits their reservation.
3. E-mail's sent to members when their backup/standby reservation becomes active
.
4. E-mail's sent to new members when they are initially approved to schedule resources.
5. E-mail's sent to members when their reservations are deleted due to maintenance.

1. E-mail's sent when a member makes a reservation.

Answer: As an administrator you can choose to receive e-mail notification when members make an aircraft reservation, instructor reservation, and equipment reservation. To activate this feature follow these directions:

a. Login
b. Click "System Settings" from the Main Menu and "Continue to the setup wizard . . ."
c. At the top right of the page, click "Step 4: Communication"

Check the first check box and enter in the e-mail address you want to be notified at.
f. Click the save button at the bottom of the screen.

2. E-mail's sent when a member cancels a reservation.

Answer: As an administrator you can choose to receive e-mail notification when members cancel aircraft reservations, instructor reservations, and equipment reservations. To activate this feature follow these directions:

a. Login
b. Click "System Settings" from the Main Menu and "Continue to the setup wizard . . ."
c. At the top right of the page, click "Step 4: Communication"

Check the second check box and enter in the e-mail address you want to be notified at.
e. Click the save button at the bottom of the screen.

3. E-mail's sent to admin's when member medical certificate's, BFR's, or 90 Day Student Signoff's are about to expire.

Answer: As the administrator you can choose to receive notification e-mail's 30 days before any of your members medical certificate's, BFR's or 90 Day Student Signoff's are about to expire. This is a proactive method to monitor the status of your members. These e-mail's will be sent to the e-mail address defined in your "Administrator Profile". To activate this feature follow these directions:

a. Login
b. Click "System Settings" from the Main Menu and "Continue to the setup wizard . . ."
c. At the top right of the page, click "Step 4: Communication"

Check the third check box to activate this feature.
e. Click the save button at the bottom of the screen.

4. E-mail's sent to members when their medical certificate, BFR, or 90 Day Student Signoff is about to expire.

Answer: As a member of Flight Schedule Pro, you can receive e-mail reminders when your medical certificate, BFR or 90 Day Student Signoff is about to expire. If you choose to set this option you will receive an e-mail 30 before any of the above items expire. Follow these directions to active this feature:

a. Login
b. Click "My Profile"
c. Near the bottom of this page you see this feature. To activate this feature, make sure the expires radio buttons are selected next to the items you want notification activated.
d. Click the "Save" button at the bottom of the page.

5. E-mail's sent to instructors when someone schedules their instruction time.

Explanation: Whenever a student schedules an instructor for flight or ground lessons the instructor is notified by e-mail of the reservation. The e-mail will contain who, when, and what time the new reservation is scheduled for.

6. E-mail's sent to members when an instructor cancels or edits their reservation.

Explanation:
Instructors have complete control over their schedules. If an instructor edits or deletes a reservation on their schedule made by a student. The student will be notified of the changes by e-mail.

7. E-mail's sent to members when their backup/standby reservation becomes active.

Explanation:
If an admin schedules maintenance for an aircraft that overlaps reservations on the schedule made by members or instructors, these reservations are canceled. Each person affected by the maintenance will receive an e-mail notifying them of the cancellation and why it occurred.

8. E-mail's sent to members when their backup/standby reservation becomes active.

Explanation: If one of your members schedules a backup reservation that becomes active, they automatically receive a notification e-mail. This e-mail explains which reservation became active and reminds them to cancel it if they do not intend to utilize the aircraft or instructor. Instructors are also capable of receiving backup reservations.

9. E-mail's sent to new members when they are initially approved to schedule resources.

Explanation: When an administrator approves a new member to use Flight Schedule Pro to schedule aircraft and instructors they receive an e-mail. This e-mail explains to them where to logon, their password and username, and informs them of their approval.
